8. Organization Settings

Organization Settings is the administrator area for your whole BEHCA organization (company branding, compliance toggles shared across profiles, org-level billing, and reusable templates). It is separate from Account Settings, which applies only to your login and personal preferences.

Who can access it

Managers and Billing users. Open the gear icon in the top bar (next to notifications), then choose Organization Settings. You land on /organization/settings (/org/settings also works).

Supervisors and Staff do not see Organization Settings — contact a Manager if you need a change here.

The three tabs

Across the top of the page you'll see:

1. General Settings

  • Organization DetailsOrganization Name, Organization Provider ID (tooltip: used to tie EVV to your payer / program ID such as Medicaid or NDIS), and Logo upload. Logo must be 244×104 px, .jpg or .png. Use the Upload button to replace it.
  • Electronic Visit Verification (EVV)Enable EVV for the whole organization. When on, staff can clock in/out of verified visits from the mobile app with location and signatures, as described next to the toggle. Requires a subscription plan that supports EVV; otherwise you'll see an upgrade notice and the toggle is disabled.
  • Multi-Factor Authentication (MFA)Require MFA for all users. When enabled, everyone in the organization must set up an authenticator app on their next login (QR code + verification code).
  • EVV Billing Codes — Maintain Medical, Service, and Mileage style codes (ADD BILLING CODE, table with Name, Service Element, Procedure Code, Service Modifier Code, Used for Mileage). These codes can then be assigned to individual profiles (ProfileBilling Details) and flow through to EVV exports. If your plan doesn't include EVV, adding or editing billing codes is disabled.

Organization fields and toggles typically save through the normal controls on the page (follow any on-screen confirmation).

2. Templates & Tools

Vertical sub-sections:

  • Tracking Templates — organization-wide defaults for behaviors, environments, etc. (same idea as templates you manage elsewhere, scoped to the company).
  • Incident Report Templates — shared IR scaffolding for profiles in your organization.
  • Bulk Profile Import — import many profiles at once (subject to seat limits on your subscription).

Availability of import or advanced actions can depend on your plan.

3. Billing Details

Shown when your account has subscription/billing attached (or you're the Billing user). This is organization-level subscription management — invoices, cards, cancellations, etc. Family or limited plans may not show this tab the same way as full Provider billing.

Common questions

  • I turned on EVV but staff don't see it. — Confirm Enable EVV is Yes, your plan supports EVV, and staff use the mobile app where the EVV tab appears for eligible profiles.
  • Where did my logo go? — Wrong size or format will fail the upload guideline (244×104, JPG/PNG).
  • Can guests change Organization Settings? — No — Manager or Billing only.
