1. Daily tracking overview

Daily tracking is the most-used part of BEHCA. Every day, for every profile, your team logs what happened across four areas:

  • Behavior — behaviors your organization tracks (often grouped into categories such as Desirable, Warning, or Challenging) and the intervention strategies used in response.
  • Environment — environmental factors, schedule changes, external influences, and screen time.
  • Health — wellness scale, overall health observations, food, digestion, numeric vitals (sleep, exercise, fluids, blood pressure, weight, etc.), optional medications/vitamins in the sidebar when MAR is off, and Health Challenges timed events when that category is visible for the profile — see Logging health observations.
  • MAR — Medication Administration Record (if enabled — see What MAR is and the Medications category).

Everything you enter is stored against the calendar day you selected in the header (today by default). Pick the right profile and date at the top, then work in whichever tab you need. The main menu labels this area Track on the web and on mobile; older links may still use /daily/ in the URL.

Where to find it

On the web

  1. Sign in at app.behca.com (US) or au.behca.com (Australia).
  2. Make sure you have the right profile selected in the top bar.
  3. Open Track from the top menu, then pick Behavior, Environment, Health, or MAR as needed.
  4. The page opens to today by default. Use the date picker to view or log on other days.

On mobile

  1. Open the BEHCA app.
  2. Tap the Track tab at the bottom.
  3. The Track screen opens to today by default.

The four sections (Behavior, Environment, Health, MAR) appear as tabs across the top of the page or screen.

How an entry works

Most logged items follow one of two patterns:

Behavior and Environment (dropdown + +):

  • What happened — choose from a dropdown configured for that profile (e.g. "Aggression toward staff", "Reduced lighting").
  • Time and duration (if applicable) — auto-filled to "now"; adjust as needed.
  • Click + to save. The row appears in Recorded Today.

Health timed categories and vitals (numeric input + +) — Health Challenges, Overall Health, Food, Digestion, Sleep, Exercise, Water, Weight, Blood pressure, and similar blocks:

  • Value — enter a number in the input field for that row (hours, count, reading, etc., depending on the category).
  • Time (if shown) — set when it happened.
  • Click + to save. Each save is its own row in Recorded Today, and you can add multiple entries the same day.

For all of the above:

A few fields work slightly differently:

  • Observable Health (the 1–10 slider) saves when you move the slider.
  • Menstrual cycle (when enabled) uses a single checkbox that saves when you toggle it.
  • Medications / vitamins in the Health sidebar (only when MAR is off) use checkboxes.

There is no single Save entire day button — each piece saves on its own.

"Recorded Today" sidebar

On the web, each tab shows a Recorded Today list summarizing what's already been logged for that date, sorted by time. That includes behaviors, environment rows, timed health events, numeric vitals you added with +, and screen time. Click any item to edit or delete it.

Saving and connection issues

You need an internet connection for entries to reach the server. If you tap + or Save while offline (or the connection fails mid-save), BEHCA may show a warning that the entry was saved locally and will try again when you're back online.

What's tracked depends on the profile

What you see on Track is controlled per profile:

  • MAR tab — only when medication tracking is enabled for that person.
  • Menstrual cycle — only when Track Menstruation is Yes on Profile → Personal Details.
  • Behavior, Environment, and Health categories — each category can be shown or hidden. By default, categories your organization has set up are visible. A Manager can mark a category hidden on Tracking Templates if your team does not use it for that profile.
  • Dropdown options within a category — customized on Tracking Templates (behavior labels, health observations, environment factors, and so on).

Who changes those settings?

  • Managers and Billing usersgear menu → Manage Profiles → select the profile → Personal Details (MAR, menstruation, IR, etc.) and Tracking Templates (category labels, visibility, ordering).
  • Staff — same paths from Profile when your organization grants Edit profile permission.

Tracking on past days

You can log on earlier calendar days — useful if you forgot to log during the shift or are catching up later. See Backdating entries.

You can't log entries for the future.

Common questions

  • Can I track things that aren't set up yet? — For Behavior and Environment, Managers (or authorized Staff) add options on Tracking Templates. For Health timed categories, check that the category is visible and configured on Tracking Templates for that profile.
  • Does daily tracking work offline?Not reliably for long. You can sometimes queue a save locally, but data is not fully saved until it reaches the server. If you're unsure whether something synced, check after you're back online or re-log on the correct date.
