4. Exporting PDF reports

Most regulators, clinicians, and family members want documents they can read offline or print. BEHCA generates several PDF reports on demand.

Exporting a Dashboard PDF

  1. Open the Dashboard.

  2. Set the date range, profile, and filters you want included.

  3. Click Export PDF (top of the page).

  4. The PDF downloads.

The PDF reflects exactly what's on the dashboard — so set your filters first.

Exporting a Notes Audit Log PDF

  1. Open the Audit Log tab.

  2. Apply filters: date range, categories, search keyword, profile.

  3. Click Export PDF.

  4. The PDF includes every entry that matched your filters, with all notes and comments inline.

This is the most-used export for clinicians, who like to see what happened across a period in narrative form.

Exporting a MAR PDF

  1. Open the MAR page (per profile or organization-wide).

  2. Pick a date range.

  3. Click Export PDF.

  4. The PDF lists every scheduled and PRN dose in the range, with status (given/skipped/refused), time, and staff name.

Useful for prescriber reviews, compliance audits, family handovers.

Exporting a Required Document Compliance PDF

This is Manager-only:

  1. Open the profile → DocumentsRequired Documents.

  2. Click the document.

  3. Click Download Compliance PDF.

  4. The PDF includes the original Client Plan of Care plus an appendix of all signatures.

Tips for clean PDFs

  • Set filters first. PDFs reflect the current view, so apply your filters before exporting.

  • Choose appropriate date ranges. A 90-day audit log can run to 50+ pages. Most readers prefer focused ranges.

  • Check the data first. If anything looks wrong on screen, it'll look wrong in the PDF too.

  • Check the cover page. Most PDFs have a header showing profile name, date range, and generation date.

  • Test print first. Some long PDFs have layout quirks. Preview on screen before sending.

What's not in PDFs

  • Videos — referenced as "Video attached" in IRs, but PDFs can't play video.

  • Interactive charts — flattened to static images.

  • Edits to the future — the PDF is a snapshot at export time. New entries added afterwards aren't included until you re-export.

Sharing PDFs securely

PDFs may contain sensitive data:

  • Email with caution. Use encrypted email if your organization provides it.

  • Print only when needed and store securely.

  • Cloud uploads (Dropbox, Google Drive) should be access-restricted.

Common questions

  • Can I customize the PDF design? — Not currently. PDFs use BEHCA's standard layout.

  • Why is the PDF different from what's on screen? — Filters apply, but pagination and chart rendering can differ. The data is the same.

  • Is there a way to schedule weekly reports? — Not currently. Each export is on-demand.

  • Can a Guest export PDFs? — Yes — Guests can export anything they can see. Permissions follow viewability.

  • My PDF won't download. — Try a different browser. Some pop-up blockers interfere with downloads. Also make sure your filters return some data; an empty result may produce an empty PDF.
