Upcoming hires let Managers reserve shifts and rotations for a named person who is not on the team yet. They are not team accounts — they cannot log in, appear on **My Schedule**, or count as seats.

Leave a staff slot **open** when you still need someone and do not know who. Use an **upcoming hire** when you already have a person in mind (for example “Night DSP 2” or “Jordan (starts Sep 8)”).

## Create and assign an upcoming hire

On a shift or rotation form:

1. Open a staff slot.
2. Under **Upcoming hires**, choose an existing name, or select **Create upcoming hire…**.
3. Enter a **Name**. You can also add an expected start date.
4. Save the shift or series as usual.

An upcoming hire fills a required staff slot, so the shift is not marked **Open**. The same upcoming hire on overlapping shifts shows the usual double-booking warning. You can **Save anyway** when the overlap is intentional.

Upcoming hires can be assigned to any profile you can schedule. They do not need group access first — assigning them is the intent.

## Review reserved work

- Profile week chips show the upcoming hire’s name with an **Upcoming** label.
- **Team Schedule → By client** shows that name on the shift instead of **Open**.
- **Team Schedule → By staff** adds a row for each active upcoming hire, with an **Upcoming** badge.
- Open that row (or **Needs attention → Upcoming-hire shifts**) to see `/schedule/upcoming/{id}` — the same week view as a staff member, without preferred hours.

**Needs attention** also lists **Open staff slots** for truly unfilled required capacity.

## Assign to a team member

When the person joins:

1. Invite them and give profile access on **Manage Team** first.
2. Open the upcoming hire’s week, **Needs attention**, or a reserved shift.
3. Select **Assign to team member**.
4. Choose someone who already has access to every profile on the **future** reserved shifts.

BEHCA remaps future shifts and rotation templates to that person, then checks for conflicts. If they overlap existing work, you can **Save anyway**. Past shifts can keep the upcoming-hire name for history.

If they are missing profile access, BEHCA lists the profiles. Add them to the right groups on Manage Team, then try again. Scheduling does not invite people or grant group access for you.

## What upcoming hires never do

Upcoming hires never appear on **My Schedule**, calendar feeds, EVV matching, messaging, document signing, or billing seat counts.
