Rotation series help Managers and Billing users create repeating shifts for a profile instead of entering each date separately.

## Create a rotation series

On the website:

1. Open **Scheduling** and select the profile.
2. Select **Schedule rotation** in the profile schedule toolbar. A side panel opens with any existing series and **+ New series**.
3. Select **+ New series**.
4. Enter a clear **Series name**.
5. Choose a **Service code** if one applies.
6. Set the start and end times. Overnight hours are supported.
7. Select the days of the week.
8. Choose a rotation:
   - **Fixed assignment** uses the same staff on every selected day.
   - **A / B weeks** is a two-week rotation: staff, or an off week with no shift.
9. Under **Ends**, choose when the rotation should stop (see below).
10. Assign staff or upcoming hires to the available slots.
11. Add shift notes if needed.
12. Choose **Draft** or **Published**.
13. Select **Save series**.

You do not choose how far ahead to generate. BEHCA automatically creates dated shifts about **90 days ahead** and keeps extending that window until the series ends. A short note at the bottom of the **Schedule rotation** panel states this. A published series creates published shifts that assigned staff can see. A draft series remains manager-only and is not auto-extended the same way.

Times and dates follow your account’s 12/24-hour and date format settings.

## When the series ends

In the series form, **Ends** has three options:

- **Never** — keeps generating until you change or delete the series
- **On a date** — last calendar day included in the rotation
- **After weeks** — number of weeks (1–52), counted from today when you save

Pick **Never** for ongoing coverage. Use a dated or after-weeks end when the rotation is temporary (for example, a summer pattern).

## A / B week rotations

Use **A / B weeks** for a two-week rotation: different staff each week, or an off week with no shift.

Set **Week A starts** to the first date that should have a shift. The week containing that date is Week A (Monday–Sunday). BEHCA does not create shifts before this date, even if that week started earlier.

Each week can be **Staffed** or **Off — no shift**:

- **Staffed** — assign people to that week’s slots (same as before). Unfilled slots still create an open shift.
- **Off — no shift** — BEHCA does not create shifts that week. Coverage and My Schedule stay blank for those dates.

At least one week must be Staffed. A staffed week still needs at least one person.

### Staff every other week

To schedule someone every other week with no shift on the off week:

1. Choose **A / B weeks**.
2. Set **Week A starts** to their first working day (not necessarily Monday).
3. Assign them under **Week A**.
4. Set **Week B** to **Off — no shift**.

The side panel summarizes this as “Rotates weekly: A week / off week.” You can add staff to the off week later by switching it back to **Staffed**.

## Edit the recurring pattern

Open **Schedule rotation**, find the series in the side panel list, and select **Edit**. Changes to the series rebuild its future generated shifts while preserving customized dates.

Edit the series when you want to change the repeating:

- Days
- Hours
- Service code
- Staff rotation
- End date / after weeks / never
- Notes
- Draft or published status

## Change only one date

Select a generated shift on the weekly calendar and edit it like a normal shift. BEHCA marks that date as a one-day exception and leaves the series pattern unchanged.

The exception stays in place when the series is edited again. Select **Edit series** from the shift when you intended to change the recurring pattern.

Deleting one generated shift also keeps that date as an exception so the series does not recreate it.

## Delete a series

Open **Schedule rotation**, select the series in the side panel, choose **Delete series**, and confirm.

Deleting a series removes its future generated shifts. One-day exceptions are kept because they were intentionally customized.

## Conflict warnings

BEHCA checks the generated assignments for overlapping staff shifts and displays weekly-hour information. Resolve warnings by changing the times or staff when possible.
